Make Future You Happy - Organize Your Digital Files

Your Google Drive and other digital files can become cluttered and lead to disorganization and lost time when searching for a document.  This is also a good time of year to consider how you will preserve your digital files if you have a career change.  Take a few moments and start a new routine of organizing your digital life.

Create a workflow routine.  Think Capture, Clarify, Organize, Review and Do.  
  1. Capture: Go through your files, emails and other incoming items.
  2. Clarify: What is it? Is it actionable? If it is not actionable, trash it or file it.
  3. Organize: If it can be done is 2 minutes or less - do it!  Otherwise delegate it or defer it by adding it to a calendar, action list or project list.
  4. Review: Create a routine of updating your action and projects lists.
  5. Do: Complete the items on your lists.

Create a folder structure that works for you.
  1. Create a folder for each category of document and then make subfolders for each aspect of that category.
  2. Add some color to your folders to help organize and highlight important folders.
  3. Standardize how you name your files and folders.

Use Google Takeout to Preserve Your Google Drive Files

Google Drive access will continue to be available for all students and staff of Robbinsdale Area Schools.  If you are leaving the school district, there is a option to preserve your Google Drive files.  This is especially important for students who are graduating this year as their accounts are deactivated shortly after they gradutate.  Click here for step by step instructions for Google Takeout.
